Master/Sub-permittee Data Sharing

This fact sheet explains how a sub-permittee should set up his/her copy of Band Manager to ensure that they can easily send their data to the Master Permittee. This sheet assumes that the Master Permittee will keep the permanent copy of the data. Master Permittees are responsible for the sub-permittee’s data. It is up to the Master, whether he/she sends in the data to the banding lab, or the sub sends in the data. If the Master decides to send in the sub-permittee’s data, then the Sub will send their data to the Master, and the Master will import it to their copy of the program, and schedule it, possibly along with their own data. The master is then in charge of the scheduling.

When a sub-permittee is setting up their copy of the program, they will want to make sure that a few things are consistent between their copy, and the Masters Copy. The Master and Sub should discuss what codes will be used in the program for the following things:

  1. Locations. If the Master already has location codes in his/her copy of Band Manager for the locations where the sub will band, then they should provide the list of codes and their data (lat/long, etc) to the Sub. The Sub will then enter these codes into their location table so that they have the exact same codes for the same locations. If the Master has a long list of locations to pass along, he can provide a copy of the location.dbf file to the Sub, by emailing or copying onto a disk, location.dbf and location.cdx. These files are found in the c:\bandmgr directory. The Sub will then add these to their c:\bandmgr directory. The Sub should not do this if they have already entered other records (records that are not in the Masters copy) into their own location table. In this case the Sub will have to manually enter the location codes.

  2. Footnote/Remarks. Each bander can design their own remark codes. However, if they are going to pass their banding records on to the Master, they should work with the Master to ensure that both are using the exact same codes for the same remarks. Note: remarks are upper/lower case sensitive, so MN does not mean the same thing as mn.

Conducting a Band Manager Import

If the data were emailed to you, then first ensure that it the data files are in a directory that Band Manager will be able to read from (all directories in the path have no more than 8 letters in them). DO NOT add the data files to the bandmgr or userfile directories directly!

If the files came on a floppy, you can import them from the floppy, or you can move them to a directory on your hard drive (the import works a bit faster this way if the file is large). Ensure the files are on the hard drive, or insert the floppy now. Now follow the steps to import the data:

  1. Click Utilities, from the Main Menu.

  2. That will bring you to the Utilities menu. Click Import. import screen


  3. Now you will be shown the Band Manager Import screen.
    There are six different Import Types. 
    Click on the circle in front of Band Manager.

  4. The option "Limit import to records past a certain date", can be used if you want to limit the import to records past a certain date. See on-line help for more information. Most people will not use this option.

  5. You will now be prompted for the file to import. This is the file that was sent to you by the Sub. Navigate to the floppy drive, or directory on your hard drive where you stored the files, and choose the .dbf file that was sent to you. Once you have selected the correct file, click OK. windows select file box

  6. Now the "Save As" screen will appear. This is where you tell Band Manager what you want to call the new file. You cannot immediately add this data to an existing data file. You will need to create a new file, and if you wish to add it to an existing file, you can do an Append after the import is complete (see manual or on-line help). Type in a valid file name (8 characters or less) that does not already exist, and press Enter. Windows Save File Box
     

  7. You will now see a "Complete Import?" screen, which will tell you how many records are in the file to be imported, and you will be asked if you wish to proceed. Click Yes to proceed. complete import confirmation

  8. Next you will see a screen indicating how many of the bands need to be added to the inventory. This is simply for your information. Click Ok to continue. add new bands or cancel confirmation

  9. The next screen that you will see is the Band Manager-Schedule screen. In some cases, the Sub will have already scheduled the data, and is simply sending the data to the Master to be added to His/Her copy of the program. In this case, you will want to indicate to Band Manager that you have already scheduled the data. To do this, click Yes. You will then be shown a screen where you would enter the date on which the records were scheduled (it is not really important that you enter the exact date, but rather that you enter a date that is close). If the records have NOT been scheduled, and you wish to be able to schedule them, click No, and the import will be completed. bands already scheduled confirmation

  10. At this point you should see a message indicating that the import was successful. Click OK, and exit back to the Main Menu. You have completed the Band Manager import.
