
Preparing Word Processed Schedules
Banders with access to computers that are using other data entry programs
are allowed to prepare printed banding schedules using a word processing
program. These schedules must be in the same general format as any other
schedules and must be pre-approved by the editing department. Please
send a small number of schedules to be evaluated before sending a large stack!
Critical points are as follows:
- The data must appear in the same order and format as the schedule form
supplied by the BBL.
- Bands 01-50 should appear on one page and 51-100 on a separate page unless
duplex printing is available. Do not staple together two sheets as a 'front'
and 'back'; rather send each as a separate schedules complete with alpha
location descriptions and remarks on both pages.
- The 'inclusive band numbers' box may be rotated 90 degrees but must appear
in the same location.
- As with all schedules, bands reported on one schedule must be consecutive;
bands that will be used in the future or have been used in the past may not be
just 'skipped'. When bands are reported out of sequence they must appear on
separate schedules All information must fit on one page without trailing on to
the next page. This can be accomplished by adjusting font size and the space
between lines; however please maintain the font size as large as possible.
- Use the initial '0' for band numbers 01-09, and month and day 01-09.
- Duplicate or identical data should be indicated by ditto marks (").
- Bands reported on one schedule must be from a single prefix and the first
three digits of the suffix must not change except for the last band (00) where
the series increases by one.
- The band Prefix appears below the "Band Prefix" column heading;
the first three digits of the suffix belong next to the first record used. If
you use the final band on the string (00) so the series changes, the new series
should appear next to the 00 band number.
For your first set of word processed schedules, send a small number of
schedules with new data and a cover note indicating that the schedules are for
evaluation of schedule format. These schedules will be sent through if at all
possible although you may be asked to make adjustments before sending additional
schedules.
